Sumba Luxury Tour payment terms in one line: every itinerary is a written quote valid 7 days, a 30% deposit secures your private guide and 4×4, the balance is due 45 days before arrival, and lodge nights are billed separately at each property’s published tariff plus tax and service. This version is dated 15 September 2026.
These terms govern every quote and booking made through sumbaluxurytour.com, published by Juara Holding Group and operated by Indonesia Juara Trip (the “Operator”). Lodges, stables, boat crews and trekking guides are independent licensed partners, not assets we own. Paying a deposit means you accept these terms.
Who are you contracting with, and how do you reach us?
Your land-tour contract is with the Operator. Your lodge contract is with the lodge, even when we place the booking and collect payment on its behalf. Both are confirmed in writing only.

How long is a quote valid, and what does it include?
A quote is valid for 7 calendar days from its printed date; after that, prices and lodge availability are re-checked before reissue.
IndonesiaJuara’s Sumba Private Trip 4D3N is priced from USD 390 per person (8 guests) to USD 700 per person (2 guests), depending on group size, with hotel twin share, entrance fees and meals included, per its table labelled 2025, as listed on IndonesiaJuara (checked 2026-09-16). Indonesia Juara Trip’s Sumba Private Trip 6D5N is listed at USD 570–1,020 per person depending on group size (USD 1,020 for 2 guests, USD 570 for 8 guests), including twin-share hotel, entrance fees and 15 meals, in its 2025 USD price table, as listed on Indonesia Juara Trip (checked 2026-09-16).
Unless the quote says otherwise:
- Included: private English-speaking guide, private 4×4 with driver and fuel, listed transfers from Tambolaka (TMC) or Waingapu (WGP), listed meals and activities.
- Excluded: flights, lodge nights, gratuities, insurance and the fees below.
- A total is a quote, not a contract price, until every lodge has confirmed availability in writing.
| Government or community fee (2026) | Amount | Paid |
|---|---|---|
| Accommodation tourism levy (reported effective 1 January 2026) | About 10% of the room rate | Via the lodge invoice |
When are the deposit and balance due?
| Milestone | Amount | Deadline |
|---|---|---|
| Deposit to hold guide, vehicle and dates | 30% of the land-tour price | Within 5 days of accepting the quote |
| Lodge deposit | Per the property’s policy, often 50-100% at NIHI Sumba, Lelewatu and Cap Karoso in peak weeks | Per the lodge invoice |
| Balance | Remaining land-tour price plus any lodge balance we collect | 45 days before arrival |
| Bookings inside 45 days | 100% | At confirmation |
Payment is by bank transfer in IDR or USD, or by card link where offered; bank and card fees are borne by the payer. A booking unpaid 7 days after the deadline may be released as cancelled by you.
Lodge nights are billed at the property’s published tariff plus its tax and service charge, never folded into the land-only price. NIHI Sumba villa rates are quoted on request for your villa, dates and length of stay, and its rate conditions state that all rates exclude a 21% government tax and service charge; promotional rates depend on availability at booking. Lelewatu and Cap Karoso apply their own premium-boutique tariffs, tax and service.
What happens if you cancel or change the booking?
Cancellation takes effect on the day we receive your written notice by email. Charges apply to the land-tour price; lodge and flight components follow the supplier’s policy and are refunded only to the extent the supplier refunds us.
| Days before arrival (notice received) | Land-tour charge |
|---|---|
| 60 or more | Deposit retained (30%) |
| 59 to 30 | 50% |
| 29 to 15 | 75% |
| 14 or fewer, or no-show | 100% |
Before the balance date, two revisions to routing, meals or activity order are free; each further revision carries supplier charges. Changing a lodge, date or region after confirmation is a cancellation of that component.
Travel insurance covering cancellation, medical evacuation and adventure activities is strongly recommended; without it the charges above apply in full.
How do Pasola dates and weather affect the itinerary?
Pasola dates are set by Rato ritual priests after the Nyale sea-worm readings and are usually confirmed only 1-2 weeks ahead, in February and March; the official 2026 Kodi schedule announced by RRI on 21 January 2026 ran 9-11 February and 9-11 March. Every future date on this site is an estimate.
If a Pasola date moves after booking, we re-sequence the land itinerary at no administration fee; lodge or flight changes are charged at supplier rates. If a Pasola is cancelled or closed to visitors by the custom authority, the tour still operates with substitute villages and no refund is due for that day.
Waterfall and lagoon segments (Lapopu, Tanggedu, Weekuri, Mandorak) depend on rainfall and road state. The guide’s safety call on the day is final, is not a breach of contract, and is met with a comparable substitute. All drive times are indicative.
What are the limits of our liability for partner-run activities?
Horse riding (including NIHI’s own equine programme), trekking, swimming and boating are supplied by the lodge or a licensed local partner under its own terms and waiver. Law No. 18 of 2025 (effective 29 October 2025) and Regulation 6/2025 tighten licensed-guide and adventure-safety standards; we book only partners who confirm compliance in writing, but we do not control their operations, and our liability for injury, loss or delay arising from them is limited to what you paid us for that component.
You confirm you are fit for the activities booked, disclose relevant medical conditions and follow guide instructions; Hepatitis A, typhoid and tetanus protection is recommended. Recreational drones follow the January 2026 guidance (15 km from airports, 30 m from people, daylight only, never over villages or ritual grounds); fines are yours.
Our total liability under any booking is capped at the land-tour price paid to us; we are not liable for indirect loss, airline schedule changes or visa refusal.
What counts as force majeure?
Volcanic ash, earthquake, cyclone, flooding, epidemic measures, government travel restrictions, airport closure, strike or civil disturbance that makes the tour impossible or unsafe is force majeure. We then refund the land-tour amount less costs already committed to partners, or issue a credit valid 18 months; supplier refunds are passed on as received. Airline timetables change often (the TransNusa Denpasar-Waingapu service announced June 2026 is one example); a schedule change alone is not force majeure.
How is your personal data handled?
We process names, passport details, dietary and medical notes and payment records only to arrange your tour, under Indonesia’s Personal Data Protection Law (Law No. 27 of 2022). Data goes to lodges, airlines and licensed partners strictly to deliver the booking, is kept 5 years for tax and audit purposes, then deleted.
Visitors from the EU, UK and other GDPR-aligned jurisdictions may request access, correction, portability or erasure by emailing sales@indonesiajuara.asia; we respond within 30 days. WhatsApp is a Meta service with its own policy, so send passport scans by email if you prefer. We never sell data.
Which law applies?
These terms are governed by the laws of the Republic of Indonesia. Disputes are raised in writing and negotiated in good faith for 30 days; unresolved disputes go to the competent Indonesian court at the Operator’s registered domicile.
Nothing on this site guarantees a ceremony date, weather or any outcome. Prices, fees and regulations are stated as of the dates given and change; the quote you accept is what binds.
Terms version 2026-09-15. Earlier versions are superseded.
